COLORADO AUTHORS’ LEAGUE BOARD MEETING AGENDA

6:08 PM – Meeting opens.
President Vickie Bane asked if anyone had any objections or changes to last month’s minutes. There was a minor change regarding proxies.
All were in favor of passing the minutes from March 17/2014 meeting.
Present are Vickie Bane, Michele Morris, Michael Madigan, Denny Dressman,
Mary Kay Jacobus, Jerrie Hurd, Linda Carlson, Barb Lundy, Eliza Cross and Margi Evans.
6:15 PM – TREASURER’S REPORT
Treasurer Mike Madigan
We are $4000 better than we were at this time last year.
CAL has 25% more in the bank than it did at this time last year.
It has 20% more money in total liabilities and equity than it did at this time last year.
6:18 PM – PROGRAM REPORT
Denny Dressman and Linda Carlson report that the total registration for CAL programs was 110 for the year.
CAL total reach was 80 people over the five programs it held (not including attendance of Denny, Linda or Vickie Bane)
Denny asks if this was worth the work it took. One suggestion to make participation better: get the word out.
Dressman passed out responses from participants as to what other programs they would like to see (at the Angela Bole workshop. )
Marketing, Blogging and social media got the most response.
6:35 PM – MEMBERSHIP REPORT
Jerrie Hurd reports there are 6 new members asking to join CAL.
Barb Lundy moved to invite all 6 authors into CAL. The motion is seconded. This brings CAL membership to 246

Group breaks to give testimony for the Joyce Meskis / Author Advocate Award.
7:05 PM – Group finishes their video messages and meeting resumes.
7:06 PM – AWARDS REPORT
Barb Lundy reports that everything is set for the presentation of awards for the night of the banquet.
7:10 – BANQUET REPORT
Eliza Cross – Thanks to Denny Dressman for making name badges.
Denny Dressman passed around programs which he created for everyone’s perusal. Mike Madigan volunteered to be in charge of the audio-visual piece of the banquet.
Cross reports that as of today, there are 90 paid guests and 11 comped.
Total as of today is 101. Room is big enough for 144 people.
7:20 – NEWSLETTER/LIBRARIAN AND TUCSON FESTIVAL
Margi Evans mentions the Librarians Conference scheduled for mid-October in Loveland at the Embassy Suites.
She suggests a CAL display. Authors can promote their books. A table costs $200 per day.
Jerrie Hurd moved that CAL does the librarian convention display.
The motion is seconded. All were in favor.
Jerrie will check out extra info.
Jerrie also proposes CAL members Tucson Festival in mid-March 2015.
It will cost $500.
Denny Dressman says he looked into this festival a couple of years ago. He does not think that the money one can make from selling books to counter the expense of going to Tucson and staying there is worth it.
Vickie Bane suggested putting the idea out for InPrint so that CAL members will know about it.
Margi will write up the information and CAL will explore the idea.
7:40 PM – WEBSITE
Michele Morris reports that the website is averaging 50 visitors a day. People are looking at it from all over the world including the Ukraine and South Africa.
People are looking at the banquet and at awards and scholarships.
7:46 PM – SPECIAL REPORTS
– Job Board is up on the website. Vickie Bane believes this is a way to get new members. “There’s a reason to be part of this because you’re helping me get work.”
– Bylaw changes. No objections. Unanimous yes votes.
– CAL Grant Applicants – There will be no Sybil Downing grant. The $1000 will be given to charity. It’s over. There were 5 other CAL grant applications. We will give $250 per person.
– Banquet Videos / Assignments – President Vickie Bane will give welcoming remarks. Mike Madigan will give Treasurer’s Report. Election of Board of Directors. Denny Dressman will give Lifetime Achievement Award. Bane will give the grants and the CAL Award. Carol McKinley will give the scholarships…etc..
8:00 PM – HOLIDAY MART 2014
Mike Madigan reports that this year’s event will be November 14-16th.
10% discount if CAL signs up for a booth by 6/1.
Booth price has gone up $200.
Final cost will be $3265.00 after the 10% discount plus the $25 application fee.
Madigan and Dressman proposed giving a 20% discount for authors this year = $80 to sign up.
Last year more than 300 books were sold / Gross sales were $6000.
It was suggested to have a registration page ready to go on the night of the banquet.
Margi Evans moves to approve the expense of $3265.00 for the Mile Hi Holiday Mart. Linda Carlson seconded the motion. All were in favor.
The program will cost $45 for 100. $56.25 for 150. It will cost $42.50 for the Holiday Mart flyers.
Jerrie Hurd moved to put in $100 for both programs. Michele Morris seconded. Unanimously approved.
Next Meeting is May 19th in the Englewood Library.
